Refund Policy for Hostel, Mess & Laundry Fee

  • Admission to the Hostel is done on a first come first serve basis by the University Authorities. Hostel seat is allotted only for one academic year.
  • If a student withdraws before the commencement of classes of the admission year (whichever is earlier), only Hostel registration fee will be deducted as processing charges and balance amount will be refunded.
  • If a student withdraws from the hostel after the start of classes/reporting for the hostel (regardless of the date of admission and whether or not the candidate has occupied a room), the entire annual hostel fee (65% OF TOTAL FEE) is forfeited. In such cases, only the Mess and Laundry fees for the remaining months will be refunded pro-rata. (Hostel fees are valid for ten months.) However, refunds for using the Mess and Laundry facility will not be considered for withdrawals made after September 30, 2026.
  • From Next year onwards if student want to continue or discontinue the hostel facility student have to submit application at the end of the academic year or the i.e., 31 May, whichever is earlier.
  • The hostel room/ seat may change from year on year as per the University Policy.
  • If a student has availed hostel facility even for one day in a calendar month, then mess and laundry fee for that calendar month shall also be deducted.
  • Students who are absent from the hostel for any reason shall not be given any benefit of fee refund/ adjustment whatsoever.
  • Students who are suspended or expelled from the hostel shall not be refunded any fee (Hostel or Mess) under any circumstances.
Note:
  • Hostel facility Fee may be revised on yearly basis.
  • Hostel registration fee is exempted from yearly payment. Hostel services are available on yearly basis.
  • Hostel is offerd for 10 months in a year. If the student has to stay in the hostel for extra classes/summer semester/ back papers then hostel fee for those days shall be charged extra.

Standard Operating Procedure (SOP): Hostel Vacating Process

This SOP outlines the mandatory steps for students intending to vacate the hostel premises at the end of the academic year. Adherence to these timelines ensures a smooth transition and proper administrative clearance.

Phase 1: Application Submission

Between April 15 and May 30 of each year, students wishing to leave the hostel must formalize their intent.

  • Action: Submit a written application for hostel withdrawal.
  • Submission Points: The application must be filed at either the Office of the Dean – Student Welfare (DSW) or the Chief Hostel Warden’s Office.
Phase 2: Parental Verification

To ensure student safety and transparency, the administration requires formal authorization from home.

  • Action: The DSW Office or the concerned Hostel Warden will contact the student's parents or legal guardians.
  • Requirement: Direct consent must be obtained before the request is processed further.
Phase 3: Official Notification

Once parental consent is verified, the student’s name will be included in the official exit list.

  • Action: The list of approved withdrawals will be published on the University/Hostel Website and posted on the Hostel Notice Board.
  • Purpose: This serves as public confirmation of the student's status change for the upcoming term.
Phase 4: Physical Vacating of Premises

The final step involves the physical handover of the room.

  • Timeline: Students are required to vacate their rooms immediately following the conclusion of the Main Semester Examinations.
  • Requirement: Ensure all personal belongings are removed and the room is handed over to the hostel staff in its original condition.
